DJ Event Policies

 

1. DJ Service Cancellation and Rescheduling Policy

By booking with us, you acknowledge and agree to the following booking policies.

  • Notice Period: Clients may cancel their DJ service booking up to 48 hours before the scheduled event without incurring any cancellation fees.

  • Late Cancellation: Cancellations made less than 48 hours before the event will incur a cancellation fee of 20% of the total booking fee.

 

2. Rescheduling Policy

  • Notice Period: Clients may reschedule their event up to 48 hours before the original event time without additional fees, subject to availability.

  • Late Rescheduling: Rescheduling less than 48 hours before the original event time will incur a 20% rescheduling fee based on the total booking fee.

  • Availability: Rescheduling is subject to availability. While we will make every effort to accommodate the new date, we cannot guarantee availability.

 

3. Special Circumstances

In the event of unforeseen circumstances such as extreme weather, natural disasters, or emergencies, both parties will work together in good faith to either reschedule the event or negotiate a fair solution.

  • Refunds for Cancellation: Any amount paid above the applicable cancellation fee will be refunded to the client.

  • Refunds for Rescheduling: Rescheduling fees are non-refundable. However, the remainder of the booking fee will be adjusted based on the new event date.

 

4. Communication

  • Notification: All cancellation or rescheduling requests must be made in writing, either via email or through our designated contact form. Verbal notices are not considered official.

  • Acknowledgment: We will confirm any cancellation or rescheduling request in writing upon receipt.

 

5. Additional Terms

  • Contractual Agreement: This policy is part of the overall contract between the client and our DJ service. By booking with us, you agree to these terms.

  • Modifications: We reserve the right to modify this policy at any time. Clients will be notified of any changes prior to their event.

6. Volume Levels and Residential Noise

We will adjust the volume to ensure it is appropriate for the venue and the nature of your event, aiming for high-quality sound while maintaining a comfortable environment. If you have specific preferences for volume levels, please inform us in advance.

  • Residential Neighborhoods: Please be aware of local noise restrictions, such as limits on playing music past certain hours. For example, if your event is scheduled from 6 PM to 11 PM and local regulations prohibit loud music after 10 PM, we will still provide our services during the entire booking. However, if we must turn off the music to comply with these regulations, no refund will be issued for the hours during which the music cannot be played.

 

7. Weather Conditions

For outdoor events, if rain is expected, please ensure you provide shelter for our equipment, such as a tent or canopy. We do not provide tents or weather protection, so it's essential to arrange suitable coverage to keep our gear dry and operational.

  • Indoor Backup: If rain or other adverse weather conditions are anticipated, having an indoor backup location is recommended. If weather concerns arise, please inform us promptly to make adjustments.

Proper weather preparation is crucial for a successful event.

 

8. Event Schedule and Music Timing

To ensure our DJ services fit seamlessly with your event, please provide a detailed schedule, including any special segments or activities that require music. If the event involves continuous music, a detailed schedule is not necessary. However, if music needs to be played at specific times or paused for certain activities, please let us know in advance.

Having this information allows us to plan the set and transitions effectively.

 

9. Music Requests

We welcome song requests from you and your guests. To help us accommodate these, please provide a list of preferred songs or genres in advance. While we will do our best to play all requested songs, we cannot guarantee every request due to time constraints or suitability.

Once your booking is accepted, you will receive a “Must Play” and “Do Not Play” list to help us tailor the music to your preferences and vision for the event.

 

10. Overtime

  • Event Extension: If your event extends beyond the agreed time and we have another session scheduled afterward, we may not be able to accommodate the extra time. In such cases, we are not responsible for any inability to extend our services.

  • Additional Time: If there is no session following yours and you need extra time, please communicate directly with the DJ. Discuss the duration of the extension and confirm availability. Overtime fees may apply depending on the length of the extension.

 

11. Setup and Equipment Policies

We will arrive at the venue with the necessary equipment for your event. For special requests, such as additional lighting, advanced effects like cold spark machines, fog machines, or extra microphones, the required setup time may vary depending on the complexity of the event and the effects involved. Please allow sufficient time to accommodate any special requests.

  • Setup Time: For events requiring special effects or complex setups, additional time may be needed for proper preparation. We recommend allowing at least 2 hours for setup and soundcheck.

  • Venue Details: Please contact us ahead of time with any additional information, such as where we should set up, parking, or load-in procedures. This will ensure a smooth setup and performance.

 

12. Damaged Equipment

Clients are responsible for ensuring that our equipment is not damaged during the event. If any equipment is damaged while in the client’s care or venue, the client will be charged for repairs or replacement.

  • Liability for Equipment: If our equipment is left at the venue, we ask that no one handle or tamper with it. The client is responsible for ensuring the equipment is not damaged, lost, or stolen while on the venue premises. Any damage caused by guests or improper handling will result in additional charges for repair or replacement.

 

13. Conduct and Professionalism

Our DJ will dress appropriately for the formality of your event. If you have a specific dress code or theme, please inform us in advance to ensure our attire matches your expectations.

We maintain a professional and respectful demeanor throughout the event. Please ensure your guests respect the DJ’s workspace and equipment. If any issues arise, kindly address them politely to avoid disruptions.

  • Respect for Workspace: Guests should avoid interfering with the DJ setup or equipment to ensure smooth operation. Any interference may result in a disruption of services, and no refunds will be issued for lost time due to such disruptions.

 

14. Payment Policies

  • Payment Methods: A non-refundable deposit is required to confirm your booking. Full payment must be made at least 48 hours before the event. We accept payments via credit card, check, or other agreed-upon methods.

  • Cancellation: If you cancel the event, please notify us at least 48 hours in advance. Deposits are non-refundable, and cancellations made within 48 hours may incur additional charges.

  • Changes to Event or Payment Schedule: For any changes, please contact us promptly. We will do our best to accommodate adjustments. Refunds are not available once services are rendered.

 

15. Force Majeure (Unforeseen Events)

Neither the DJ service nor the client will be held responsible for failure to perform the agreed-upon services due to events beyond their control, such as natural disasters, pandemics, civil unrest, or other unforeseeable circumstances. Both parties will work together to find a reasonable solution.

 

16. Health and Safety

The client is responsible for ensuring the safety of the DJ and their equipment during the event. Any hazardous conditions or unsafe environments should be addressed prior to the event. We reserve the right to discontinue services if the safety of our team or equipment is compromised.

 

17. Venue Requirements

  • Space: The client must ensure that the venue provides enough space for our setup, including sound equipment and lighting.

  • Electrical Supply: The venue should provide a sufficient and safe power source for the DJ equipment. Inadequate electrical supply may result in equipment failure, for which the client is responsible.

 

18. Power Requirements

We require a stable and sufficient power supply to operate our equipment. Please ensure the venue has enough power for our setup to function properly. If the power supply is insufficient or fluctuates, it may impact the performance of our equipment.

 

19. Wire Management

We will maintain clean and organized wire management to ensure the safety and aesthetics of the event space. All wires will be secured to prevent tripping hazards and to avoid interfering with the flow of the event.

 

20. Special Effects Approval and Venue Communication

  • Approval from Venue: We must have approval from the venue for any special effects, including but not limited to cold sparks, fog machines, or pyrotechnics. It is also essential to confirm the venue’s policies on noise regulations, as some venues may have restrictions on the use of certain effects or loud music.

  • Proof of Approval: The client must provide written proof from the venue confirming that special effects are allowed. If special effects are not approved by the venue, we will not be able to use them during the event.

 

21. Agreement to Terms

By booking our DJ services, you acknowledge and agree to the terms outlined in this policy. No need to review the entire document again; your booking confirms your acceptance of all policies.
